Deliverables
.- Training for maintenance and process of mailing and printing.
- Training for Approvers of Statements.
- A test run will be executed on site using clients internal email addresses for a test batch of no
more than 10 Statements/Invoices. - An introductory email sent to all clients with email addresses for the specific contact type,
explaining the change in delivery of Statements or Invoices. - The clients will be advised of where and how to obtain Snapshot reader in order to read the
attachments. Snapshot reader is a standard feature in Microsoft Office 2000 or higher, if the option
had been selected on installation. It will be available on Our Website:
http://www.greatsoft.co.za/Services/SViewer/snpvw.exe - The body of the email will read Client Name and Outstanding Balance.
- Advise IT Department on additional email address needed for return mail and BCC mail.
Prerequisites
- An additional Contact Type must be added and all clients that will potentially receive
Statements/Invoices by email must have the correct email addresses attached. (Suggested
Contact Type “eDocs” or “Statements” - SMTP Server and port addresses. This is needed for automatic sending of emails.

as well as receive a copy of the Statement/Invoice. - Mail Subject, i.e. a subject line that will identify to the clients what the email relates to.
- Username & Password where applicable. For Authentication on the SMTP Server.
